Decide on a spiritual advisor. You need to contact the Diocesan Spiritual Advisor for his approval BEFORE you ask a priest to be the spiritual advisor for the weekend.
Put out applications for your team. Team needs to have 1/3 first time team members. Discuss the make up of the team with Spiritual Advisor BEFORE you ask any one to be on the team. THE NUMBER OF TEAM MEMBERS SHALL NOT EXCEED EIGHTEEN (18).
READ THE MANUAL. The answers to most of your questions are in the manual. The CD you were given at Rector(a) training contains all the paper documents. The CD cannot be altered, but must be copied to the "C" drive on your PC in order to be edited for your Cursillo. The outlines, letters, agendas, and 3-day schedule are set up as templates for easy editing.
Pray daily for the team and candidates of the best Cursillo ever!!
Call the team. It is a good idea to explain your expectations for team members (attendance at team meetings, schedule etc.) at the time you invite them to be on the team.
Make schedule of team meetings. About 30 to 35 hours of meeting time is needed to plan the weekend, hear spiritual autobiographies (if you choose to do them), critique talks, and just spend time getting to know each other.
10 - 12 Weeks Weeks Before Cursillo
Begin team meetings. Stress importance of attending every meeting.
Make folders with all the necessary information including each specific job description. You can't communicate too much.
Order lanyards from Marge Dominy 254-803-5879 or Doris Tomlinson 713-453-5239. (Someone on the team may know a person who can make these from his/her home church)
Order blank wooden name tags from Camp Allen 936-825-7175 (Camp Allen charges for these) or, someone on the team may want to cut and make them or know someone from their home church who would like to cut and make them. Ask Camp Allen to send the registration cards to you. This will save time at registration on Thursday night.
Send a copy of the team roster including address, phone number and email to the Registrar.
Find someone to make the banner - 24" x 36".
6 Weeks before Cursillo
Order internal palanca from David Kemp - 409-825-6848. (NOTE: This information could change?so see "Secretariat Roster" under "General Information" in the CD directory)
Contact Camp Allen Event Coordinator - 936-825-7175 to discuss set up of Rollo room, chapel time and any food order you may have.
If you request the use of the PowerPoint projector, be sure to confirm the cost to the Cursillo.
Be careful about what you request from Camp Allen concerning any kind of supplies or services, it is not free!
Communicate with the Registrar about candidate applications etc.
Be sure your Music Director has contacted the Clausura committee chairperson concerning the music you want to use during Clausura. Clausura is the responsibility of the Clausura committee.
You should be receiving first list of candidates from the Registrar including decuria assignments. Information concerning cursillo, application forms, participant lists etc are located on the website www.texascursillo.org.
Send a map of the set up of the Rollo room (see a suggested layout on the map on the Rector(a)'s CD under the "Templates and Forms" directory). Also send a map or write out how you want the layout to look for the room used for chapel next door to Rollo room, small room used for chapel visits, and layout of set up for Agape and details of the three-day weekend to Camp Allen. (There is a form on the CD called "set up needs for Camp Allen"). All Saints Chapel is set aside for Cursillo for Stations of the Cross, Agape, and Clausura.
Don't assume anything concerning communications with Camp Allen.
If you receive any late applications, remember you will have to increase your order with the Internal Palanca chairperson.
You should be receiving a final list of candidates from the Registrar unless the Cursillo is not full.
Arrive at Camp Allen about 1 o'clock.
You will have palanca waiting for you at the registration desk.
